Dear LERA 77th Annual Meeting Participant,

Thank you for registering to attend the LERA 77th Annual Meeting. We’re excited to have you join us! This page will serve as a hub for important links, checklists, and information you’ll need as the meeting approaches.

As you may know, LERA sets registration fees as low as possible to cover the costs of the meeting, and we ask that all participants pay their own registration fees. This helps ensure a broad diversity of voices and perspectives on the program.

That said, if you are from an underrepresented minority group and the registration fee presents a financial barrier, we want to help you participate fully. If this applies to you, please submit a registration subsidy request here as soon as possible. While funding is limited, we will forward your request through the appropriate channels and consider it on a rolling basis until funds are exhausted.

1. Save the Date!
The five-day meeting will take place June 12-15, 2025 in Seattle, WA.

1. Plan now to bring your presentation (electronic and/or paper versions) with you to the meeting, if you have one and if you will need it.

1. Register for the meeting at the LERA Website beginning February 2025. (Early bird deadline for registration is March 25, 2025).

2. Check your listing in the program. Is it accurate? Send updates to [email protected], and we'll change the online program, the final date to make changes to the printed program will be announced.

We are not guaranteed facilities on site to receive/send e-files, or to print copies. We request that you plan in advance.

2. Reserve your hotel. The Westin Seattle is the LERA hotel.

3. Contact your session Chair. Find out who this is using the online program. Get in touch and see if they have special instructions.

2. Plan now to bring a laptop or share with a colleague who plans to bring a laptop.

3. Make your travel arrangements.
We currently have no services to assist with transportation to or from the airports or hotels.

4. Plan the dates you will attend by reviewing the program, your session dates/times, and the other notable events that will take place.

LERA will provide a LCD projector, screen package. Please plan to bring a connecting cord for your IBM-compatible, Mac, iPad, etc. device with an HDMI connection.

Dear Session Chair,

Thank you for participating in the upcoming LERA 77th Annual Meeting! We’re excited about this year’s program and grateful for your involvement. Session chairs play a vital role in ensuring a successful event; your leadership is essential.

To help you prepare, we’ve outlined the key responsibilities below. Please download and review the full Chair Instructions Letter, and use this summary below as a quick reference.


1. Verify Your Session Information

Please check your session details in the online program. Is everything accurate? Let us know of any changes as soon as possible. We can update the online program and, if submitted early enough, the printed version. Note: Only one primary affiliation is printed per participant; job titles are not included.


2. Contact Session Participants

Reach out to your session participants early (ideally in January or February). Introduce yourself, share your contact info, explain how you plan to run the session (e.g., time limits), and remind them of deadlines. You'll need to:

  • Collect bios and presentation materials

  • Coordinate file sharing — either using our shared Box folder or your preferred method

  • Share updates to your group and answer questions as needed

3. Collect Biographies – Due March 25

You'll be introducing each speaker. If you don’t plan to write bios yourself, request one from each participant by March 25. Upload them to your session’s Box folder. Acceptable formats range from a simple paragraph to a designed flyer (PDF or Word), ideally named like Doe-Jane_Bio.pdf.

Be sure to upload your own bio as well; bios are required for us to offer CLE credits for your session (if applicable).


4. Collect Presentation Files – Due June 3

Please collect and upload any papers, slides, or handouts to the Box folder by June 3. This allows you to:

  • Coordinate with discussants

  • Ensure all content is accurate in the online and printed programs

  • Fulfill CLE requirements (if any)


5. Using the Shared Box Folder

LERA has a dedicated folder in our shared Box drive for the program. Request papers and/or presentation files by June 3 and upload them to Box. These are needed for CLE credits and to assist discussants.


6. Update LERA when information is added or changed

  • Forward contact information for new session participants to [email protected], or if any updates apply, including: affiliations, email addresses, or paper titles.

7. Determine and enforce time limits

  • Enforce a total session time of 75 minutes, leaving 10–20 minutes for audience Q&A.
  • Allocate 8–10 minutes per speaker accordingly.

8. Publish in the Proceedings

  • Consider submitting remarks to the LERA Proceedings. Chairs and discussants are invited to publish remarks if the associated paper is also being published.
  • Participants in your session presenting research papers will be invited to publish.
  • Indicate intent to submit by June 25; deadline for final submission is July 27.

Instructions for Presenters

  • Verify your session information in the online program. Report any changes promptly to LERA.
  • Session time is 75 minutes. You’ll likely have 8–10 minutes to present. Your Chair will confirm and enforce time limits.
  • Upload your bio by March 25 to the Box folder. It helps Chairs introduce you and supports CLE accreditation.
  • Upload your full paper by June 3 to the shared Box folder. Email submissions to [email protected] also accepted.
  • Files not uploaded must be emailed directly to your Chair and Discussant. If so, bring 25 printed copies of your materials to the meeting.
  • You may submit your paper for publication in the LERA Proceedings. Let us know by June 25. Final deadline: July 27.
  • You may also enter the LERA/ILR Review Best Paper Competition. Submit your paper by September 1. See this page for full details.

Instructions for Panelists

  • Confirm your session details in the online program and notify LERA of any corrections.
  • Each session is 75 minutes, with most panelists allotted about 10–12 minutes to speak. Your session chair will provide specifics and enforce the time limit.
  • Upload your bio to the shared Box folder by March 25 to support CLE credit and ensure proper introductions.
  • Upload any presentation files by June 3 to the Box folder. Email files to [email protected] if needed.
  • If you do not use the Box folder, email your files to the session chair and bring 25 printed copies to distribute at the meeting.
  • Updated versions can be uploaded later—Box will overwrite older files with the same name.

Instructions for Discussants

  • Review your session details in the online program and notify LERA of any corrections.
  • Each session is 75 minutes. Most presenters will speak for 10–12 minutes. Chairs will communicate and enforce time limits.
  • Upload your speaker bio by March 25 to the Box folder to support CLE credit and session promotion.
  • Access presenter papers and materials in your session folder in Box by June 3. Email files may also be sent to [email protected].
  • If papers are not available in Box by June 3, contact your session chair directly. Contact info can be found in the LERA Member Directory.
  • You are invited to submit your discussant remarks for publication in the LERA Proceedings. Let us know by June 25. Submit final text by July 27.

Instructions for Poster Presenters

  • Check the online program for your session's time and date.
  • Set up your poster at least 10 minutes before the session begins.
  • Prepare a title/author label with lettering at least 1 inch high, and an abstract (≤300 words) with 3/8" high lettering for the upper-left corner of your space.
  • Clearly indicate the sections and sequence of your material. Keep it simple and easy to follow.
  • Load your paper files to Box, along with your bio, or email them directly to the Box folder, or bring about 15 copies of your paper for distribution. On-site printing will not be available.
  • Remove all materials from your poster board at the end of the session.
  • Prepare a 100-word abstract of your research for publication in the LERA Proceedings and submit it online with your author agreement form by June 25.
  • Upload your speaker bio and abstract to the Box folder for your session. Files may also be emailed to [email protected].

Instructions for Community Council Leaders

  • Sessions may include both presentations and business meetings. Please ensure time is reserved for Council business, such as elections or updates.
  • If your session proposal was submitted and accepted, allow approximately 10 minutes per speaker and include time for audience Q&A and Council business.
  • Leaders (Chairs, Co-Chairs, Conveners) are responsible for managing speaker time limits and facilitating the business meeting portion.
  • Promote your meeting to Council members via your Council’s E-list. Consider inviting volunteers for future roles (e.g., Webmaster or Co-Chair).
  • Update and review your bylaws, mission, and leadership. These documents are available at LERA Community Councils.
  • Report any changes to LERA (e.g., new Co-Chairs, bylaw amendments) after your session concludes.
  • If your Council did not submit a session proposal but would like to meet, request a meeting slot by contacting [email protected]. Space is limited.

Instructions for Committee Chairs

  • Encourage your committee members to attend your meeting and forward them any emails you receive from LERA about registration, hotel, and logistics.
  • If you have an agenda, reports, or attachments for your committee or the Executive Board meeting, please send them to [email protected] by June 3.
  • Documents received by this deadline will be printed and shipped in time for your meeting on site.
  • Please confirm whether you will attend the LERA Executive Board meeting on Friday, June 13, 2025 from 5:30 – 7:00 PM by emailing [email protected].

Proceedings & Publishing

  • All papers presented at the meeting are eligible for publication in the LERA Proceedings.
  • Discussants and Chairs may submit remarks as long as the associated paper is also being published.
  • Poster presenters may submit a 100-word abstract for inclusion in the Proceedings.
  • Let LERA know of your intent to publish within 10 days after the meeting ends.
  • Proceedings submissions will be accepted through July 27.
  • LERA allows dual publication with other journals, provided permission is granted by the other publisher.

File Uploads to Box Folder

Upload your bio, paper, presentation, abstract, or handout using the shared Box system. Each session has its own folder.

If you have trouble accessing Box, contact [email protected] and provide an alternate email address for permissions, or feel free to organize using an alternate method.

The Box file is FREE to use; if you are asked to pay odds are something has gone awry.
